Overview
The DealerOn integration lets your AI Agent search your dealership's vehicle inventory during a call. A caller can ask, "Do you have a red Honda SUV under thirty thousand?" and the agent searches your inventory, answers by voice, and can look a vehicle up by stock number or VIN. The agent can also text the caller a written summary of the vehicles discussed.
Your inventory is supplied as a CSV file (a spreadsheet saved as comma-separated text) that you upload from the agent's Actions tab. The agent always searches the most recent file you upload.
Prerequisites
- An AI Agent you can edit and a plan that includes integrations.
- An inventory CSV exported from your dealership website provider or inventory system. Use the same export your website feed uses, with one row per vehicle. It should include columns such as stock number, VIN, new or used, year, make, model, trim, color, price and dealership name for multi-store feeds. [VERIFY IN UI: required column list]
- The file must be a CSV, no larger than 50 MB.
Enable DealerOn and Upload Your Inventory
- Open the agent in the AI Agent module and go to the Actions tab.
- Find the DealerOn card and select enable. A message confirms DealerOn enabled. Upload your inventory CSV to get started. [Screenshot: DealerOn card]
- On the card, next to Inventory: (Manage the CSV files the agent searches.), select Manage Files. The DealerOn Inventory Files window opens. [Screenshot: DealerOn Inventory Files window]
- Click or drag a CSV file into the box labelled Click or drag a CSV file here to upload. A message confirms the upload.
- The file appears under Uploaded files with its name, size and last-modified time. The newest file carries a Current badge: that is the one the agent searches.
- Select Done.
- Make sure the agent's flow can use the inventory tools, then test with a call. See: Building Conversation Flows and AI Agent Tester | Scenarios, Suites and Batch Runs. [VERIFY IN UI: whether flow tool placement is automatic]
Keeping Inventory Fresh
Upload a new file whenever your inventory changes. The agent switches to the newest file automatically. The window has a setting, Replace existing files on upload:
- On: uploading removes all existing files first. You are asked to confirm (Replace existing files?). Choose this if you upload a complete export each time.
- Off: new files are added alongside existing ones. Old files stay in the list, but only the newest is searched.
Each row in the list has Download and Delete actions. Deleting is permanent and asks you to confirm.
Disabling
Disable DealerOn on the card and confirm. The agent stops searching inventory immediately. Your uploaded files are kept and reappear if you enable it again.
Tips and Troubleshooting
- Upload rejected. Only CSV files are allowed means the file is not a CSV (export again as CSV, not Excel). File is too large means over 50 MB. The file couldn't be processed means it is not valid CSV or has an invalid name; open it in a spreadsheet, check it, and save again.
- The agent describes stale inventory. The Current badge shows which file is used. Upload a fresh export. Changes can take a short while to be picked up. [VERIFY IN UI: refresh delay]
- The agent can not find a vehicle you know you have. Check the vehicle is in the CSV and that make, model and stock number are filled in.
- Multi-store groups. If one file covers several stores, the agent can tell which stores are in the inventory and filter to one. Use a dealership name column that is consistent in the file.
- Texting vehicle details sends a message to the caller's confirmed mobile number. Make sure your texting setup is in place. See: AI Agent SMS: Texting the Caller and the SMS Channel.
- Only upload inventory you are happy to read aloud and text to the public.
